How to raise your effective rate

1. Cut the unbilled minutes

Admin is the biggest silent tax on your rate. Drop the unbilled minutes in the calculator and watch the hourly figure jump. The fastest lever is letting one tool handle booking, payments, reminders and notes instead of stitching them together by hand — that's exactly what we weigh in our coaching CRM comparison, and our hands-on Paperbell review looks at how far an all-in-one setup actually trims the admin for solo coaches.

2. Shrink no-shows and late cancels

Every missed session is revenue you planned on and lost. A clear cancellation window plus automatic reminders typically pulls the no-show rate down by several points — nudge that field down and the net income moves with it.

3. Sell packages, not single sessions

Packages commit income up front, cut the booking churn between sessions and lift the value of each client. Flip the calculator to Packages mode to see the difference on your own numbers.

FAQ

Questions about your hourly rate

It's what you actually earn for every hour you work — not just the hour a client sits in front of you. It divides your net income (after no-shows, payment fees and tool costs) by every hour worked, including the prep, notes and admin you never invoice. It's almost always lower than your session price, and it's the number that tells you whether your practice is really paying you well.
Three quiet leaks: unbilled time (notes, scheduling, messaging) stretches the hours behind each session; no-shows and late cancels erase revenue you planned on; and payment fees plus software subscriptions shave the rest. A $120 session can easily land near $70–$85 per hour worked once all three are counted.
Cut the admin minutes per session (automate booking, payments and reminders), reduce no-shows with a clear cancellation policy and automatic reminders, and move from single sessions to packages so income is committed up front. The three levers are spelled out in the section above.
No. Everything is calculated in your browser and nothing is saved — no account, no cookies, no tracking. The only way anything leaves your device is if you click “copy link to my numbers”, which packs your inputs into a URL that you choose to share.
